Description

  • Manage daily office administration and AP/AR workflows with strong attention to detail.
  • Process accounts receivable accurately and on time, including invoicing and payment reconciliation with global travel partners.
  • Review and improve internal workflows to increase operational efficiency and maintain administrative and financial integrity.
  • Manage organizational software subscriptions and support the optimization of internal systems and workplace technologies.
  • Provide administrative support to executive leadership, including complex global scheduling and calendar coordination.
  • Track business performance and organizational goals using reporting and visualization tools such as Excel and Google Sheets.
  • Support remote workforce operations through vendor coordination, accounting tasks, and general office administration.
  • Handle sensitive financial and corporate information with discretion.

Requirements

  • 6+ years of proven experience in business operations, accounting tasks, or a similar hybrid role, preferably remote.
  • Strong working knowledge of QuickBooks and accounts receivable/accounts payable workflows is a big plus.
  • High proficiency with spreadsheet software such as Excel and Google Sheets.
  • Associate's or Bachelor's degree in business administration, accounting, or a related field preferred.
  • Exceptional attention to detail, strong organizational skills, and proactive problem-solving ability.
  • Ability to work independently in a remote, full-time role of 40 hours per week.
  • Native or bilingual English proficiency for clear communication in a virtual global environment.
  • Based outside of the United States, with a preference for candidates in Latin America.
  • Ability to overlap with California hours, generally until 3pm Pacific Time.
  • Comfort handling sensitive financial and corporate information with absolute discretion.
