Description

  • Manage executive calendars, appointments, meetings, travel, and personal and professional schedules.
  • Handle confidential correspondence and communications with discretion.
  • Prepare meeting agendas, presentations, notes, and follow-up action items.
  • Track deadlines, reminders, priorities, and ongoing projects.
  • Assist with executive requests, including research, reservations, purchases, and personal errands.
  • Identify repetitive tasks for automation or simplification.
  • Use AI tools to improve productivity, documentation, scheduling, research, and communication.
  • Create and maintain workflows, templates, and standard operating procedures.

Requirements

  • Bachelor’s degree in Business Administration or a related field.
  • At least 2 years of experience supporting executives, senior leaders, or business owners.
  • Proven experience working remotely for a U.S.-based company; U.S. law firm experience preferred.
  • Strong written and verbal English communication skills.
  • Bilingual English and Mandarin Chinese preferred.
  • Outstanding organizational, time management, and multitasking abilities.
  • High discretion when handling confidential information.
  • Ability to learn and adopt new technologies quickly.
  • Experience with Monday.com, Asana, ClickUp, or similar project management platforms.
  • Interest in AI tools and workflow automation, with the ability to identify efficiency improvements.
  • Resourceful, detail-oriented, and able to work independently.
  • Availability for a full-time schedule with at least 6 hours of overlap with Pacific Time; a 3-month probationary period applies.
