Description

  • Manage complex, multi-time-zone calendars, scheduling conflicts, inboxes, meetings, travel, and follow-up actions.
  • Prepare meeting packs, briefing notes, agendas, and related materials.
  • Prepare, circulate, track, and follow up on engagement letters through signature and return.
  • Draft client and prospect correspondence and maintain accurate contact and CRM records.
  • Format, compare, version, execute, and organize legal documents according to firm standards.
  • Prompt and follow up on time capture and flag billable items, disbursements, and expenses to Finance.
  • Coordinate matter-related workstreams and administrative processes across firm stakeholders.
  • Use Legal Operations intake channels and published response standards for wider-function requests.
  • Identify and apply AI and technology improvements to streamline daily work and attorney support.

Requirements

  • 5+ years supporting partners, senior fee earners, or C-suite executives, ideally in law or professional services.
  • Fluent written and verbal English.
  • Strong proficiency with Microsoft Office, Aderant or similar practice management software, Power BI or similar dashboards, Claude, Copilot or similar AI tools, and Asana or similar project management tools.
  • Experience with practice management, billing, time-capture, or document management systems, or the ability to learn comparable systems quickly.
  • Excellent organizational and project management skills with the ability to manage multiple detailed workstreams.
  • Ability to remain poised under pressure, multitask, and prioritize effectively.
  • Strong team orientation and collaborative working style.
  • Practical curiosity about using AI and technology to improve processes.
  • Availability to work US Eastern Time hours.
  • The role is structured as a full-time independent contractor position.
