Description

  • Provide administrative and coordination support to attorneys and internal teams, including scheduling, correspondence, document organization, follow-up, and workflow management.
  • Prepare, format, organize, and file legal documents, applications, evidence, and other case materials under attorney supervision.
  • Communicate professionally with clients and prospective clients in Mandarin and English through phone, email, and approved messaging platforms.
  • Maintain accurate client and case records in CRM and case management systems, including interaction notes, follow-ups, progress tracking, and digital files.
  • Support client intake by screening inquiries, identifying needs, scheduling consultations, gathering preliminary information, and explaining next steps.
  • Build relationships with clients, attorneys, business partners, third parties, and internal team members.
  • Monitor deadlines, coordinate outstanding items, and follow up on required information to keep matters progressing efficiently.
  • Use legal technology, CRM platforms, productivity tools, and AI-assisted systems to improve workflow efficiency and accuracy.

Requirements

  • Bachelor’s degree required.
  • Fluency in written and spoken Mandarin and English.
  • Prior law firm experience is highly preferred, including legal support, administration, client services, intake, or case coordination.
  • U.S. immigration law experience is preferred but not required.
  • Strong interest in learning U.S. immigration processes, legal workflows, and client-service standards.
  • Excellent communication, organization, follow-up, and relationship-management skills.
  • Ability to adapt across legal, administrative, and client-facing responsibilities.
  • Comfort using CRM systems, case management platforms, productivity tools, and new technologies.
  • Strong attention to detail, sound judgment, and ability to handle confidential information professionally.
  • Availability for at least five hours of overlap with the firm’s Pacific Time operating hours; a skills or practical assessment may be part of the application process.
