Description

  • Manage calendars, schedule meetings, and coordinate appointments for clients.
  • Arrange travel, accommodations, events, and conferences.
  • Prepare, edit, and organize documents, reports, presentations, and meeting materials.
  • Handle phone calls, emails, correspondence, and client requests with professionalism.
  • Maintain files, records, databases, and office management systems.
  • Assist with meeting agendas, take minutes, and support follow-up actions.
  • Collaborate with team members to ensure efficient workflow and task completion.
  • Perform ad hoc administrative tasks and support multiple clients or executives as needed.
  • Use AI tools and automation to optimize workflows and improve productivity.

Requirements

  • Experience using AI tools such as ChatGPT, Claude, or Gemini.
  • Ability to write and optimize prompts for AI tools.
  • Experience automating workflows using tools such as Zapier or Make.
  • Experience using AI for research, summarization, email drafting, and task management.
  • Experience working in a fractional, freelance, or contract-based role.
  • Exceptional organizational, time-management, multitasking, and prioritization skills.
  • Excellent communication, interpersonal, and client-facing abilities.
  • Proficiency in MS Office and Google Suite.
  • Strong attention to detail, accuracy, professionalism, and confidentiality.
  • Ability to work independently and remotely with a flexible schedule.
  • Experience supporting multiple executives or clients simultaneously.
  • Experience with project management tools, video conferencing tools, and online collaboration tools.
  • Knowledge of office management systems and procedures.
  • Experience supporting HNW individuals, family offices, or business leaders is preferred but not essential.
  • Comfort meeting clients in person occasionally if requested.
  • Knowledge of emerging AI software, tools, models, and methodologies is preferred.
